Salary Details:
This is a benefited (medical, dental, vision and retirement) full-time position, and compensation has been initially established to range of $63,000 to $67,500 annually, based on qualifications and experience.

Organization Overview:
CALEA is a not-for-profit public safety credentialing organization that provides professional accreditation services for law enforcement agencies, public safety communication agencies, public safety training academies, and campus security organizations. CALEA has been in existence for more than 40 years and is governed by a board of 21 Commissioners. Nearly 1,300 clients actively participate in CALEA programming, and the organization’s primary mission is to enhance public safety professionalism through the promulgation and administration of standards.
Position Overview:
The Administrative Coordinator reports directly to the Chief Financial & Administrative Officer and serves to support full and part-time employees, contractors and appointed Commissioners through administrative related duties. This includes processing personnel selection and separations, payroll administration, leave management, benefits review and information sharing, personnel records management, and tax registration responsibilities. Additionally, the position maintains all records on active and retired employees and contractors of the organization, as well as active and retired commissioners. The Administrative Coordinator assists the Chief Financial & Administrative Officer with other duties such as expense reporting, development and delivery of management documents and other special projects.
Specific Responsibilities:
Personnel Records Management – ensures all documentation regarding the selection of appointed Commissioners is properly maintained, and continuing eligibility requirements are monitored.
Contractors Records Management – ensures all document regarding the selection and maintenance of assessors and other business-related contractors are maintained, to include training requirements and work history information.
Employee Records Management – ensures all documentation regarding active and retired employees is maintained in compliance with corporate policy and employment law.
Conflict of Information Management – ensures annual business conflict of interest reports are received and reviewed by qualifying members of the organization, as defined by policy.
Hiring Eligibility Administration – ensures all candidates for hire have successfully completed background reviews, corporate mandates, and Federal hiring requirements to specifically include E-Verify processing.
Pay Administration – ensures payroll is processed in accordance with corporate policy and FLSA provisions.
Leave Administration – monitors the use of leave through the automated system and reports irregularities to the proper supervisory authority with the organization for action.
Benefits Administration – reviews benefits information and shares important facts with staff to ensure benefits awareness and access to services.
Tax Reporting – coordinates with state/provincial authorities for the purpose of tax registration and supports information needs within the payroll administration function.
Expense Reporting – review submitted expenses related to contracted employees within the financial management system, and assist with some preparation, as directed.
Computer Skills:
The successful candidate must be proficient in using Microsoft Office, especially Word and Excel, and experience with accounting software programs (Sage Intacct). They must be able to attain proficiency with CALEA’s membership and accreditation database. Also be able to attain proficiency with 3rd party platforms for payroll (Paychex) and expenses (Ramp).
Requirements:
A Bachelor’s Degree, in an appropriate field, is preferred but an equivalent combination of experience, training and education may be substituted. Some experience in public relations with the public sector is desirable. Ability to communicate effectively both orally and in writing. Ability to complete assignments in a timely fashion and ability to travel periodically for periods of up to one week.
