The Senior Executive Assistant to the President provides high-level administrative and organizational support to the Association’s President. This position performs a key role in ensuring the President is organized and positioned for the successful execution of Association priorities and initiatives.
Position Responsibilities
Maintain and Manage the President’s schedule, including:
Scheduling meetings and preparing all meeting materials in advance.
Managing, vetting and prioritizing inbound requests for meetings, briefings, speaking engagements, and other time commitments
Anticipating scheduling conflicts; prioritizing and communicating scheduling changes
Arrange the President’s travel including securing transportation and accommodations
Prepare detailed travel agendas for the President including the appropriate logistical information and briefing materials
Process expenses for the President, ensuring accurate and timely submission
Ensure the President is prepared for speaking engagements by drafting content and slide decks, talking points, and other detailed information. Coordinate with internal staff to gather key information and data points
Develop and prepare reports and presentations for internal and external meetings on behalf of the President
Serve as the primary point of contact for internal and external communication with the President. Assess external inquiries directed to the President and determine the appropriate course of action
Determine which tasks are the most urgent and need President’s attention.
Track the President’s action items and ensure timely response/approval of items from department heads
Oversee the coordination and completion of key projects and initiatives
Assist in the delegation of projects and tasks to the appropriate staff and ensure timely completion
Identify opportunities, gather the most relevant information from individuals to build context, and present it to the President for a decision.
Handle sensitive information with discretion, professionalism, confidentiality, and respect for privacy
Manage staff project and task tracking with Monday.com

Education and Experience Requirements
Bachelor’s Degree required
Four or more years of experience in an Executive Assistant role supporting C-Suite executives required
Experience working in a professional office environment
Exceptional customer relations skills and outgoing nature are essential
High Level of Proficiency with Microsoft Office software (Word, Excel, Power Point, and Outlook) particularly in a support role
Experience with office productivity tools and an aptitude for learning new platforms
Ability to organize, prioritize, initiate and coordinate multiple tasks and projects to meet deadlines
Ability to work as a part of a fast-paced team, as well as work independently
Strong work ethic
Excellent oral and written communication skills
Positive, enthusiastic attitude and customer-oriented demeanor
Excellent attention to detail and proofreading skills
Detail oriented
Desire for professional growth, development and a passion for earning success
Working Conditions
In-office work a minimum of 3 days per week, with teleworking 2 days a week, subject to change.
A professional, fast paced environment
Some travel is required – all domestic
Occasional work outside regular business hours
