ASTRO, the American Society for Radiation Oncology, is seeking an experienced education program manager to join our education team.
Under the leadership of the Director of Education, this position is responsible for various special programs at the Annual Meeting and other live, in-person meetings of the society. In addition, this position will facilitate the collaboration between the educational content development and the eLearning department to assure that all in-person education is designed with the virtual learner in mind. The position entails providing leadership and subject matter expertise in researching, planning, developing, implementing, and evaluating program content for various projects related to the Annual Meeting and the society’s other live, in-person meetings, including managing the meeting timelines, budget and providing professional expertise to volunteers and staff, including the Education Program Coordinator. Program formats include live activities, online learning and hybrid meetings/events. This position also serves as the staff liaison to the International Education Committee. Responsibilities involve external visibility that impact ASTRO’s public and professional reputation.
NOTE: ASTRO offers a hybrid work environment. The position is based in Arlington, VA at ASTRO’s headquarters and eligible for immediate telework up to 3x/week. All employees must be fully vaccinated as a condition for employment. ASTRO follows the CDC for indoor mask-wearing guidance.
In this role, the Sr. Education Program Manager:
- Serve as the lead facilitator for the collaboration between the education and eLearning departments to assure that all education content that is presented in-person is designed with the virtual learner in mind.
- Work with the education and eLearning teams to identify live content that will translate most appropriately as potential revenue generating enduring activities.
- Work with the eLearning team to develop content for standalone live virtual and enduring activities.
- Plan, organize and execute special educational activities with a CME component at the ASTRO Annual Meeting and other society live, in-person meetings. This includes the Annual Meeting Master Classes, Storytelling sessions and Innovation Hub sessions. Oversee and be able to perform all necessary tasks to meet established timelines and content expectations for each activity.
- Facilitate the design of innovative educational programs, streamline processes for the development, implementation, management, and evaluation of the educational and scientific content for assigned projects.
- Make recommendations on an appropriate educational design/format for live, in-person programs and enduring materials. Make recommendations on improved processes/procedures to enhance the quality of the program/project.
- Act as staff liaison to the International Education Committee. Develop, manage, plan, and execute any programs approved by the ASTRO Board of Directors. Coordinate regular communications of the committee and work groups/subcommittees including conference calls and quarterly committee meetings/calls.
- Collaborate with the Division of Education’s meetings and eLearning teams as well as the society’s, communications, IT, and corporate relations departments to ensure the success of each project as needed. Work closely to produce educational materials (meeting programs, journal supplements, meeting evaluations, signage, etc.) as well as marketing pieces (registration brochures, ASTROgram/ARROgram stories, dedicated emails, etc.).
- Disseminates opportunities and best practices within radiation oncology through ASTRO communications channels and outside partners.
- Develop and manage project budgets.
- Maintain awareness of new regulations and guidelines concerning continuing medical education and ensure that program design and documentation supports compliance with accrediting systems, in particular the essential areas of the ACCME.
- Assist in the continuing education accreditation and re-accreditation processes.
- Utilize various technologies and educational tools including APTIFY (association management system), Kentico (web management system), Confex (Speaker Center, abstract submission site, online conference planner), Conferences i/o (audience response system, social Q and A). Provide training for other staff including the Education Program Coordinator and Education Administrative Assistant on these tools as needed.
Qualified candidates will have:
Education/Experience
- Bachelor’s degree or equivalent training required
- 6+ years of experience planning and organizing educational content for meetings, preferably within a medical specialty society
- Work requires demonstrated subject matter expertise in project management; demonstrated ability to handle all aspects of the area of responsibility with only general supervision and guidance; and demonstrated ability to develop appropriate procedures and practices and to enhance the quality of the program/project
Knowledge, Skills, and Abilities
- Must have knowledge of Microsoft Office Suite, Association Management Databases, web development programs (HTML) and abstract/faculty management systems (Confex).
- Must a have knowledge of electronic delivery methods of educational content.
- Must have strong project management skills and experience training team members.
- Must have a team-based approach to planning, display resourcefulness, ability to work collaboratively across the department to achieve desired results.
- Must have excellent oral and written communication skills in order to interact effectively with contacts inside and outside the association, particularly with volunteers and physicians –listens effectively and clarifies as needed. Experience managing large committees successfully.
- Strong knowledge of continuing medical education requirements, including ACCME standards and essential areas preferred.
- Ability to establish working relationships with diverse groups, including coalitions of scientific societies, scientists, physicians, policy-makers, etc.
- Proven leadership, team-building skills, and commitment to diversity are required.
- Ability to manage multiple projects and priorities

- Must be able to use critical thinking to further strategic goals.
- Previous management and supervisory experience a plus.
Working Conditions
- General open-office environment, individual cubicles and assigned work spaces
- Ability to travel domestically overnight and on weekends, four to six times per year.
