The Education & Meetings Coordinator supports the Education & Meetings Department, and assists in the coordination of the committees and all volunteer programs and initiatives based on the society’s strategic objectives.
EDUCATION
Works with the CEO and the Annual Meeting Program Directors updating the Program Schedule/Onsite Program
Assists in the coordination of webinars, case studies, and all educational products
Oversight of the CME review process for the Annual Meeting & enduring materials
Reviews marketing materials for educational courses to ensure accuracy of content and ACCME requirements
Coordinates/confirms the abstract reviewers and oversees the abstract CME review process
Coordinates the publishing of abstracts for the ASCCP Journal (JLGTD)
Assists the Director, Education & Meetings with any logistical requirements as it pertains to events, including booking travel with ASCCP travel system
Travels to meetings to assist with the onsite management and execution of the meeting
Works with Exhibit Sales coordinating exhibit contracts and in-kind equipment
Coordinates emails to attendees to include syllabus, and manages event-related inquiries
Coordinates speaker communication and welcome packets
Assists in the coordination of shipments to events
ADMINISTRATIVE
Coordinates/supports committees, workgroups, and special projects
Schedules/coordinates meetings, drafts agendas, takes minutes, and manages action items
Ensures communication and coordination among committees, working groups and volunteers
Ensures tasks are completed on time, within scope and budget
Monitors and documents the progress of all activities
Meets regularly with the CEO to ensure proper information flow and adherence to stated goals and objectives
Other duties as assigned
SKILLS & ABILITIES
Excellent interpersonal and written communication skills
Must be detail-oriented, highly organized, self-directed, and have a collaborative workstyle
Ability to coordinate multiple projects within the organization and other departments to achieve project goals on time and within budget
Proficient knowledge of Microsoft Office, Adobe, Google Suite, Asana, Slack and Dropbox
Demonstrate superior level of customer service and time management
Flexibility to accommodate the schedules of member volunteers
Will require availability for occasional evening and/or weekend meetings and travel for conferences/board events
REQUIREMENTS
Qualifications include a bachelor’s degree and at least 1-3 years of relevant experience. Must live within 90 minutes of the DC Metropolitan Area. No exceptions.
Preference given to someone with:
Meetings experience (CMP)
Experience working for a medical society/non-profits
