The Accounts Receivable Coordinator is responsible for overseeing the organization's receivables process, ensuring timely and accurate collection of membership dues, event registrations, sponsorships, and other revenue streams. This role plays a critical part in maintaining positive member/customer relationships and ensuring the association’s financial health.
ESSENTIAL FUNCTIONS:
Responsible for the full accounts receivable cycle, including invoicing, payment processing, collections and reconciliation
Receive and record all payments (wire, ACH, check/lockbox, and credit card including GlobalPay, PayPal, Square, and Braintree), including distributing to other staff as needed, and maintain all supporting documentation
Create and distribute invoices for conferences, tenants, contracts, and partnership agreements upon request
Maintain updated standard operating procedures (SOPs) for accounts receivable
Respond promptly to customer service emails and phone calls, maintaining high satisfaction and providing quality customer service in accordance with the ACTE Customer Service Standards
Collaborate with membership and database staff to ensure data integrity of member billing, dues and renewals and meeting department staff for event registration
Leverage technology to improve customer service experiences
Provide onsite conference registration support for VISION, NPS and MO ACTE events
Serve as backup for reconciling monthly batches and maintaining a supporting batch log to ensure complete and accurate batch tracking
WORKING RELATIONSHIPS:
Internal: Works directly with membership, finance, database, meetings and VISION staff.
External: Works with members, customers, event attendees and VISION vendor on-site staff.
EXPERIENCE, SKILLS AND QUALIFICATIONS:
Bachelor’s degree preferred or any combination of education, experience, and training equivalent to a bachelor’s degree.
Minimum of 3 years’ accounting experience and proficiency with accounting software; nonprofit/association environment preferred.
Minimum of 3 years’ experience in iMIS EMS required.
Experience with event conference management system (eShow) a plus.
Proficiency in Microsoft Office Suite.
