The Role
NRMCA's Meetings & Events Director support the execution of meetings and events throughout the Association, from documentation of stakeholder requirements and contract coordination to execution. The primary focus of this Team member will be the growing number of internally focused Association gatherings, many of which may take place in a hybrid setting or a completely virtual environment. The ideal candidate will ensure seamless logistics, efficient communication, and a positive experience for all attendees.
This role requires excellent time management skills, attention to detail, and the ability to multitask in a fast-paced environment.
Specific Responsibilities
As directed by and in collaboration with the NRMCA Senior Director of Meetings & Events, this Team member will be responsible for event coordination from inception to execution, balancing the need for a positive attendee experience with respect to the budgeted resources.
The primary focus of this Team member will be collaborating with the NRMCA staff stakeholders (primarily the NRMCA Promotions Team) supporting activities in the field and staff facing functions at NRMCA Headquarters. The Team member will also support the execution of NRMCA's keystone events at the direction of the Senior Director.

Event Planning & Registration Support
- Capture and document the details supporting internally focused staff events (in-person/hybrid/virtual, number of participants, food, and beverage requirements, etc.).
- Create Requests for Proposals (RFPs) where necessary which accurately reflect event details.
- Negotiate any contracts or vendor relationships supporting session requirements.
- Coordinate with key stakeholders regarding registration requirements or RSVPs for participants.
- Creates and manages event registration in event management system.
- Manage event shipments and materials deliveries.
- Manage AV support and presentation requirements for sessions.
- Assist in the development and distribution of meeting materials and post event materials
- Process weekly registration reports, manage attendee rosters, special event invitations, and maintain accurate records of past meetings and events.
Onsite Event Management
- Set-up and provide support to on-site registration desk at conferences and events.
- Assists in all aspects of event execution, from setup to tear-down, and ensures a positive attendee experience.
- Manage mobile app for conferences and events.
Other Job Requirements
- Assist with the administration and organization of the meetings department, including maintaining schedules, department SOPs, handling correspondence, ordering office and conference supplies, and managing registration databases.
- Assist in the management of the offsite storage used to house event materials and equipment.
- Process department invoices.
- Other duties as required
Qualifications:
- Three to five years of experience working at a non-profit association or in an event planning, meeting coordination, or administrative support role.
- Exceptional attention to detail.
- Ability to manage multiple tasks simultaneously.
- Strong organizational and project management skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office Suite.
- Preferred experience with Protech, Cvent, Blue Sky and GoToWebinar.
- Problem-solving skills and the ability to adapt to changing circumstances.
- Self-motivator with a strong work ethic
- Ability to work independently and collaboratively in a team environment.
Work Environment:
- Hybrid
- 25% travel required
- Ability to work flexible hours, including evenings and weekends, as needed.
- Ability to lift to 40 lbs.
