Looking to make a difference? The International Society for Heart and Lung Transplantation is seeking a Membership Manager.
ISHLT is the world’s largest multidisciplinary organization dedicated to improving the care of patients with advanced heart or lung disease through transplantation, mechanical support and innovative therapies.
In this position, you’ll be responsible for managing the Society’s activities related to membership management and programs. The Member Services Manager primarily tasked with increasing recruitment and retention of Society members by providing a welcoming experience, developing innovative programs and benefits to meet the evolving needs of members, and by curating data needed to evaluate these activities. The position provides the opportunity to combine creativity, innovation, teamwork, and project management to support the activities and mission of the Society.
We are a small team where everyone contributes in meaningful ways, and all our work is collaborative and connected. We are focused on providing a high level of member and customer service to ensure a positive experience for all, externally and internally.
The Membership Manager will be a fully remote or hybrid position, with the option to work in our office in downtown Chicago.
Duties and Responsibilities include the following. Other duties may be assigned.
Membership Development:
Create processes and foster an environment that ensures consistent, positive customer and member experiences.
Challenge the status quo to help the Society recognize opportunities for membership growth and engagement and by recommending and developing innovative programs and benefits to meet the evolving needs of members.
Utilize data and metrics to identify trends and avenues to improve member and customer experiences.
Serve as the staff liaison to the Membership Committee and provide support to other volunteer bodies, as assigned, including meeting scheduling, agendas, minutes, project management and reporting, enabling committees to execute their missions and objectives.
Develop and maintain volunteerism and mentoring programs with the goal of engaging members year-round and strengthening the Society’s leadership pipeline.
Interact and support other Society activities including but not limited to:
Association governance, by producing member data providing insight to committee nominations and appointment processes.
Marketing/Communications, by providing content specific to membership recruitment, retention and related activities for membership campaigns, and the website.
Education/Meetings, by orchestrating membership outreach during the Annual Meeting and leading the development and deployment of the Annual Meeting networking app.
Participate in budget creation and execution, monitoring revenue/expense for assigned activities.
Manage dues generation and renewal procedures for all members. Manage the timely invoicing of all members.
Oversight of internal and external resources to ensure that customer service functions are executed in a timely, effective, and responsive manner.
Database Management & Reporting:
Own the lead staff role as our AMS (Impexium) expert.
With the assistance of contracted technical support, manage the configuration, maintenance and implementation of AMS processes and reporting related to:
Membership acquisition and renewal
Meeting and event registration
Foundation donations and annual giving campaigns
Integration of various third-party applications
Produce weekly, monthly, and ad hoc reports to identify membership trends, analyze event registration statistics, and other metrics.
Ensure the Member Services Administrator is trained and effectively maintains the integrity and cleanliness of member and customer data in the AMS.
Other:
Manage relationships with key vendors supporting member services activities.
Provide administrative support to the Chief Operating Officer.
Additional duties as assigned.
Education/Experience:
BA/BS degree or equivalent experience.
Minimum of 2 years of recruitment, retention, reporting and member service experience preferably in health care society membership or association membership.
A minimum of 2 years in a management role with the ability to manage an administrator focused on customer service and database integrity.
Qualifications and Skills:
Leadership qualities including empathy, accountability, ability to inspire others and form strong relationships with ISHLT team members, members, and other stakeholders.
Strong writing, editing, and verbal communication skills; strong analytical reasoning ability; strong organizational and project management skills.
Highly proficient in the use of Microsoft Office products. Advanced knowledge of Excel. Intermediate to advanced experience with Impexium or similar AMS.
Ability to respond quickly to time-sensitive requests from staff and Society members.
Ability to anticipate obstacles, identify opportunities, solve problems, and make recommendations for operational improvements.
Maturity and organizational savvy; ability to work independently and in collaboration with teams; strong interpersonal skills.
Creative and innovative with the ability to work efficiently and meet deadlines.
Able to work under tight time constraints and extended hours as required.
Capable of making objective decisions using sound judgment.
Ability to travel 2-3 times per year.
Supervisory Responsibilities:
Supervises the staff/resources responsible for customer service and database data integrity.
Language Ability:
Strong writing skills and a track record of consistent, clear communication. Experience writing for email marketing, social media platforms, press, newsletters, websites, and other platforms. The ability to communicate clearly based on strategic briefs or directives. Some graphic design experience preferred, whether professionally trained or self-taught.
Reasoning Ability:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
