This position requires someone with a passion for membership recruitment, retention, data, and databases. We are seeking someone who wants to apply their critical thinking and analytical skills to take this small, young organization to the next level.
PRINCIPAL RESPONSIBILITIES
Oversee the administration, data migration, and management of the organization’s databases, including the transition to a new AMS.
Lead all membership operations, to include recruitment and retention, reporting, and developing strategies to support our members.
Support accounting and budgeting procedures of ACAPT.
Contribute to the achievement of ACAPT’s strategic plan.
Assist the Executive Director in managing the day-to-day and ongoing activities of ACAPT.
TARGETED AREAS OF ACTIVITY
Database Administration:
Manage all databases, including those for membership/prospects, career center, honor society, and future databases that may be developed to include:
Accurate data input, data hygiene, data migration, maintenance, queries, troubleshooting, reports, records, hard files and training new employees on how to use the database, where relevant.
Interface with vendors on the transition to a new AMS and on solutions to support short and long-term database needs.
Support the Center for Excellence survey creation, dissemination, reporting and member/non-member access.
Membership
Lead the organization’s membership recruitment and retention initiatives.
Serve as the lead contact for member inquiries and customer service support
Serve as the staff liaison to several volunteer committees.
Assess member needs, then develop concept, scope, and budget.
Oversee all administrative notifications to members, including dues, motions, calls for volunteers, etc. and track results. This includes depositing of dues payments received by check.
Handle all aspects of the voting & motion process for membership meetings.
Annually produce and ship member certificates and other benefits for new or renewing members.
Oversee the annual appointment and election process.
Secure consent to service, assignment of copyright, and conflict of interest forms from all volunteers.
Administer the national student honor society, which includes printing and mailing certificates.
Coordinate awards production and presentation, including applications and selection process materials.
Maintain ongoing, accurate membership lists for AMS and website, including member representatives.
Finance
Handle all accounting functions, including accounts payable/receivable, invoicing, and dues administration.
Procure annual budget proposals from volunteer leaders.
Organize and maintain the corporate records.
Oversee annual audit and related filings.
Maintain tracking of scholarships and grants.
Digital & print support:
Provide day-to-day website support, including content updates, onboarding new users, and general maintenance.
Develop and implement use of listservs.
Contribute to the creation and production of publications as appropriate.
Partners, Exhibitors, Sponsors, and Other External Groups:
Support staff in the delivery of partner benefits.
Assist in the production of exhibitor/sponsor collateral.
Events & Meetings:
Contribute to preparations for meetings and events.
Assist with on-site registration and event support as needed.
Solicit booth volunteers and manage the scheduling and instructions for all.
Attendance at the annual conference may be required.
General Administrative Needs
Maintain all governing documents including articles of incorporation, bylaws, standing rules, policies and procedures, and strategic plan, ensuring access by all volunteers. Maintenance includes updating as changes occurs.
Coordinate with the Reference Committee and Parliamentarian to facilitate voting on motions and potential bylaws amendments for member approval, and the publication of voting results.
Order supplies, including awards and certificates.
Manage oversight of contracts with vendors, contractors, and consultants.
Provide administrative support to the Executive Director, Board of Directors and other leadership as needed.
Required:
Advanced experience with databases, data migration, network and applications software.
Experience with managing association membership systems (AMS).
Experience with accounts payable and receivable and a strong understanding of financial management.
Experience with business intelligence/data visualization systems (e.g., Tableau).
Excellent attention to detail and time management.
Excellent customer relationship skills, able to communicate with people at all levels.
2+ years’ experience administering a membership or customer service database.
Problem-solving and critical thinking skills.
Strong organization and project-management skills.
Desired:

Confidence with web management tools.
Passion for numbers, spreadsheets, and data analysis.
