Position Overview:
The Meeting Manager is responsible for coordinating all aspects of conferences, meetings, and events, including pre-planning, execution, and post-event evaluation. This role involves partnering with subject matter experts and client volunteer committees to manage program content, communications, and speaker logistics, while ensuring compliance with accreditation standards. Additionally, the Meeting Manager oversees vendor coordination, travel arrangements, and maintains detailed records to meet accreditation and conflict-of-interest requirements, serving as a liaison for attendees and external groups.
Key Responsibilities:
Partner with subject matter experts to manage content development and promotion.
Partner with subject matter experts and other staff members to develop and deploy key communications (e.g., registration info, venue specifics etc.)
Develop and manage program content development with client’s volunteer committee members.
Manage the collection and management of speaker information.
Ensure compliance with Accreditation Council for Continuing Medical Education (ACCME) or other accrediting bodies' standards.
When applicable, manages the event application and reporting process with continuing education providers.
Maintain records and documentation to meet accreditation requirements.
Oversee compliance with conflict-of-interest (COI) policies and disclosure requirements.
Manage the submission of accreditation applications and periodic reports to accrediting bodies.
Manages a post-event survey and evaluation process.
Partners with client team to coordinate all aspects of conferences, meetings, and events (i.e., pre-planning, execution, post event measurement, etc.)
Coordinate travel, lodging, and expenses for participants traveling to meetings or other business travel.
Coordinates the RFP processes for venue and vendor selection.
Coordinates the efforts of event vendors (i.e., Hotel, Venue, F&B, AV, etc.)
Responsible for creating and maintaining the event’s timeline for staff, member volunteers and vendors.
Serves as main liaison to external groups that meet in conjunction with the client’s meetings.
Secondary Responsibilities:
Serves as the attendee liaison to ensure a full understanding of onsite/day-of logistics and manage communications as required.
Manage of 20,000 sq ft. tradeshow floor.
Manage exhibit and sponsorship sales and deliverables.
Solicits and tracks faculty and leadership expense reports.
Review all meeting invoices and bill events directly to individual cost centers.
Executes all corporate space requests for meetings (ICWs).
Assist additional staff members to coordinate the committee meeting schedule and logistical needs.
Serves as main liaison to external groups that meet in conjunction with the client’s meetings.
Assist with maintaining the meetings and education section of the client’s website.
Perform all other duties as assigned by Supervisor.
Qualifications:
Bachelor’s degree or a minimum of four (4) years of successfully demonstrated work experience and/or education program implementation preferred.
CMP and DES certification desired, but not required.
4+ years experience in meeting management for associations
Demonstrates a commitment to continuous learning and professional development, staying updated on industry trends, best practices, and emerging technologies
Proficient in Microsoft/iWork Office Suite, databases management, and general web and email applications.
Experience working with or ability to learn industry standard event management technology such as Cadmium and/or Cvent.
Strong understanding of content management systems (CMS), learning management systems (LMS), and association management systems (AMS), with the ability to effectively integrate and manage these platforms to enhance event planning, communication, and participant engagement
Proficiency in various AMC project management tools, such as Monday.com
Excellent analytical, problem-solving, and strategic thinking skills.
Exceptional communication, interpersonal, and presentation skills, with ability to convey information in writing and verbally.
Excellent organization and time management skills with demonstrated ability to handle and prioritize multiple projects effectively and efficiently in a deadline-oriented environment.

Working Environment:
Percentage of travel - up to 20%
This position is remote and requires prolonged sitting with occasional lifting, pushing, and pulling of up to 25 pounds. Employees are expected to maintain a comfortable home office setup and adhere to safety guidelines for physical need, ensuring a balanced and productive work experience.
