CLIENT ASSOCIATION: Society for Immunotherapy of Cancer, SITC REPORTS TO: Sr. Project Manager DIRECT REPORTS: None EXEMPT/NON-EXEMPT EMPLOYEE STATUS: Exempt (Minimum of 37.5 hours/week)
GENERAL SUMMARY The Society for Immunotherapy of Cancer (SITC) is a non-profit medical professional society of influential scientists, academicians, researchers, clinicians, government representatives, and industry leaders from around the world dedicated to improving cancer patient outcomes by advancing the science and application of cancer immunotherapy. With the oversight of the Senior Project Manager (Sr. PM), the Project Manager (PM) is responsible for detailed management and implementation of assigned Scientific Publications team projects and initiatives, including development and monitoring of timelines and budgets, identification of resource needs and availability, sourcing vendors, and reporting on project status and outcomes. In consultation with the Sr. PM, the PM will aid in proactively driving projects to ensure timely delivery of quality output while maintaining strict adherence to applicable guidelines and team-driven procedures.
POSITION RESPONSIBILITIES (Minimum 37.5 hours/week)
Proactively project manage assigned Scientific Publications team (SciPub) projects as directed by Director of Scientific Publications and assigned by the Sr. Project Manager in support of the society’s strategic initiatives. Includes general project management for the development of scientific works and other outputs for a variety of stakeholders and target audiences.
Ensure professional and cohesive communications, accurate project status reports, and successful project completion in a timely manner including proactively identifying areas of concern or opportunity.
Serve as the staff liaison to assigned scientific committees and task forces which includes committee administrative duties as well as meeting organization, taking minutes, and monitoring decisions and action items through to completion.
Provide support to volunteer leaders serving on steering committees and specialist task forces as needed to aid in the successful completion of the committee activities and outputs.
Source external vendors, liaise with contracted vendors, and work with internal support services as needed to facilitate project progress, error free execution, and completion according to timelines.
Interface with internal and external collaborative groups if needed to maintain dialogue regarding projects; report on project status and obtain further information as needed.
Ensure compliance with governing guidelines, society policies or established procedures.
Ensure timely and accurate information is created/updated for project management needs as well as to promote the outputs of the scientific publications team through various communication channels.
Work with designated Leaders, Director, and other staff to assist with the development and project management milestones for other short-term and long-term special projects as they arise.
Maintain all needed files and systems to track project status and report on project success.
Stay updated on new technologies, best practices, and industry trends within areas of responsibility.
Develop and monitor budgets as well as provide appropriate tracking and trending reports in areas of responsibility.

EDUCATION/EXPERIENCE REQUIRED
Qualifications - Outstanding organizational, interpersonal, and communications skills. Ability to tailor communications appropriately for the intended audience and produce professional and error-free letters, documents, and other written pieces. Shows resourcefulness and takes initiative, with appropriate support. Computer proficiency, especially in Microsoft Excel and Word, with a strong ability to create, edit, and manage multiple documents and spreadsheets across concurrent projects. Acute attention to detail and high accuracy on outputs. Able to work successfully in a team environment.
Experience - Previous association management experience and familiarity with nonprofit boards of directors a plus.
OTHER REQUIREMENTS
Travel of up to 2 weeks per year
Some evening and weekend work as needed
Occasional lifting, up to 50 pounds
*This position is located in downtown Milwaukee, WI and a minimum of two days onsite in the office (including Wednesday as an all-staff-in-office day) are a requirement of the role.
