This mid-level position in our Council Operations department focuses on managing scientific programming for our top-rated event, Digestive Disease Week (DDW). You will be working closely with physician members of the council to develop programs and coordinate with our three sister societies to create a robust educational selection of scientific/medical programming. DDW is the largest gathering of GIs in the world. Think: colon cancer screening, new treatments for GI diseases, the gut microbiome, efforts to address racial disparities in health care. 

You will also have responsibility for reporting on council section’s activities, attending council meetings and collaborating with other departments at AGA to develop promotional materials. So, familiarity with Microsoft Office, SharePoint, and database management will be helpful.

TITLE:                    Manager, Section Council Operations (Scientific Programming) 

REPORTS TO:       Senior Manager, Council Operations 

SUMMARY:              Responsible for managing assigned section’s AGA Institute’s portion of the annual meeting Digestive Disease Week® (DDW).  Serve as liaison to DDW administration staff and three other medical societies to develop DDW.  The Council comprises 13 sections that develop and oversee AGA Institute’s portion of DDW and other educational programming.   

Duties and Responsibilities 

General Management: 

1. Coordinate a portion of educational programming (lecture and poster sessions) for AGA at Digestive Disease Week by working with physician leadership, internal staff across multiple departments, other specialty societies and subcontractors with focus on tasks and deadlines according to Council timeline.
2. Manage Council procedures, governance and elections processes.

Specific Responsibilities: 

1. Manage the abstract submission and review process for assigned AGA sections including communications to reviewers, Council, authors, and staff.  
2. Manage development of invited speaker sessions and oral/poster abstract sessions. 
3. Manage the invitation, response, replacement, housing arrangements and travel, confirmation, and honoraria and disclosures, for speakers and moderators for DDW associated with assigned AGA sections.
4. Develop agenda items and supporting materials for Council meetings; document meeting proceedings; draft minutes; and follow-up on action items.
5. Communicate with assigned section members to keep them apprised of new and updated procedures; maintain revisions to and delivery of the annual Council Handbook; and plan orientation teleconferences for Council members as needed.
6. Provide reports on assigned section activities.
7. Attend two AGA Institute Council meetings annually.
8. Oversee AGA Institute Council conflict of interest review process for annual conferences.
9. Submit appropriate CME applications.
10. Coordinate with marketing and communications departments for content and format of annual conference promotional materials.
11. Design and test online user interfaces for various target audiences.
12. Assist in management of single topic annual conference.
13. Assume other duties as assigned, commensurate with the scope of responsibility of the position.

Qualifications 

• College degree or equivalent experience required.
• At least three years relevant work experience in non-profit association and/or committee meeting planning required; technical/scientific research program administration preferred.
• Technical Experience: 
  • Extensive knowledge of Microsoft programs required
  • Database management required
  • Experience working in SharePoint or other shared-document folder.
• Budget administration experience
• Excellent attention to detail and quick learner.
• Availability to travel required.
