The International Association for the Study of Lung Cancer (IASLC) is the premier international membership association for physicians, researchers, and medical professionals, who are dedicated to conquering lung and thoracic cancers globally.  We are seeking a Conference Manager to proactively plan and manage complex in-person and hybrid medical conferences under the guidance of the Associate Director, Conferences.  Multiple domestic and international conferences are hosted annually.

Day to day, the Conference Manager will oversee conference logistics from planning through execution for multiple upcoming meetings.  The role requires extensive collaboration and communication with internal stakeholders, program committees, and an external meeting services vendor.

This full-time, nonsupervisory position reports to the Associate Director, Education and is based at our downtown Denver office on a hybrid work schedule.

In this role, you will:

• Lead, coordinate and execute details for multiple global meetings and conferences, including but not limited to facilities, registration, speakers, accommodations, travel arrangements, catering, exhibits, and audio-visual needs.
• Manage budget and project timelines. Develop detailed plans for all event logistics.
• Evaluate and select vendors for various services according to event requirements.
• Negotiate contracts with venues and vendors, such as hotels, convention centers, and speakers, securing the best possible terms.
• Work in conjunction with contracted meeting services firm as needed to ensure that all event logistics are addressed, and problems are resolved promptly as they arise.
• Serve as an active member and resource to cross-functional planning teams while fostering a collaborative team environment.
• Build events and run reports within association management software.
• Work closely with virtual platform vendor to build and execute hybrid and/or virtual meetings.
• Collaborate with Marketing & Communications and Member Experience departments to manage the marketing strategy for meetings.
• Ensure alignment with requirements for the delivery of Continuing Medical Education (CME).
• Oversee speaker arrangements and communications with invited faculty
• Work closely with program committees to develop program content, identify faculty.
• Provide regular status reports on meeting preparation and pertinent details to all stakeholders via meetings, conference calls and email.
• Maintain organized, cohesive records of activities for each meeting, including summary reports for management.
• Travel to national and international event sites as required (up to 25%)

• Compensation: $65,000-75,000 annually, depending on related experience and education.

A successful candidate will have the following qualifications:

• A deep commitment to the mission of the IASLC and compassion for those living with a lung cancer diagnosis
• Bachelor’s degree
• Five+ years of related conference management experience
• Strong written and oral communication skills; ability to communicate professionally and collaborate effectively across all levels of the organization
• Must be able to maintain composure and work calmly and effectively in high stress situations
• Strong project management skills; must be highly organized and able to exercise initiative and good judgment in prioritizing work and balancing multiple tasks
• Must be computer literate with proficiency in all Microsoft Office suite and other software packages, as applicable, or the ability to learn new software rapidly
• Hands-on experience executing hybrid meetings and large conferences,
• International experience and multicultural sensitivity
• Multilingual fluency/literacy would be a plus
• Certified Meetings Professional (CMP) or equivalent certification preferred
• Experience in planning medical conferences or meetings helpful, but not required
• Ability to travel domestically and internationally, as needed
• Strong technical skills with proven aptitude for learning, configuring, and integrating new technologies into workflow
