This position manages all aspects of the Public Health Expo, an integral part of the APHA Annual Meeting. Responsibilities include marketing and selling the Expo Hall, communicating critical information to exhibitors, managing the contact database, designing activities to bring attendees into the hall, and providing financial and statistical reports. The Exhibits Manager serves as the primary staff liaison to the decorator who designs the expo hall floorplan and show look virtually, hybrid, or onsite. Previous experience with exhibit sales and management is required (preferable with an association). Exhibitor Sales: Utilize telephone solicitation, electronic and written correspondence, social media, and marketing tools to sell booth space in the Public Health Expo and reach APHA’s target revenue for exhibit sales. This includes researching new prospects, building existing relationships and maintaining APHA’s customer management system, ACT. Manage the exhibit sales process using the exhibit software system, to include processing contracts and deposits, invoicing, following up on delinquent payments, and acknowledging receipt of payments within 30 days. Exhibitor Marketing: Develop and implement exposition marketing plan. Marketing projects include Exhibitor Prospectus, change of address postcard, marketing postcard, email campaigns, website messages and social media. Exhibitor Customer Service: Send monthly bulletins to exhibitors. Follow up with exhibitors to make sure they have accessed the Exhibitor Service Kit. Respond to exhibitor questions and requests. Ensure that exhibitors have built their virtual expo profile. Manage requests for attendee mailing lists, email campaigns and exhibitor theater presentations. Sponsorship Development: Responsible for sponsor prospecting, proposal customization and presentation, contract revision and servicing, sponsor follow-up and support. Manage onsite, live in-person, or simulate, virtual exhibitor experience: Develop and lead strategic engagement initiatives and implement tools to enhance the exhibitor experience. Past and current initiatives have included passport to prizes, scavenger hunts, social media video contests, exhibitor quad areas. Manage Design & Layout of Exhibit Hall: Work with the Annual Meeting General Service Contractor, to design the exhibit hall. Each year, the design should take into account feedback from staff, management and exhibitors. Design includes the physical layout of the floor plan as well as the look of banners, directional signage, and APHA booths. Manage and review vendor contracts: Supervise the process of negotiating and administering RFPs for vendor contracts for the exposition onsite or virtually to include security, floral, lead retrieval, decorator services, medical support, coat check, photography and freight. Develop Exhibitor Advisory Council: Act as staff liaison with the Exhibitor Advisory Council. Select exhibitors from various organization types to serve on the council. Evaluate and implement updates or changes to exposition based on council input. Perform other duties as assigned.

Minimum Associate degree and at least 3-4 years exhibit management or equivalent related experience providing exhibit management. Advanced degree is a plus. Candidates should have strong customer service and interpersonal skills, relationship building, strong organizational skills, proficiency in Microsoft (MS) Office products (Word, Excel, PowerPoint), proficiency in Adobe products, MS Outlook, event or membership databases, a passion for virtual event production, ability to rapidly learn and introduce new technology, experience with mobile applications and databases. Experience working on a virtual and onsite exhibit platform. Strong sales, negotiation, and budget experience. Understanding of HTML and CSS is a favorable plus. Knowledge of technical options for cross-functional onsite and remote virtual event planning. Relentless attention to detail. Ability to lift and/or move up to 25 lbs. Must be able to travel to the Annual Meeting with other occasional travel possible; Must be able to work occasional weekends and evenings to attend events and other off-site functions when applicable. Team spirit and flexibility.
Position is based in downtown DC near several metro stations. Hours: 35 hours a week, full-time, Mon- Fri. (daytime). Number of openings: 1.
