The Director of Membership and Administrative Services reports to the Executive Director. The position is responsible for the strategic direction and management of membership development, recruitment, and retention and for providing office and financial management resources.
Membership Responsibilities & Duties:
•Develops and directs a comprehensive marketing program for membership recruitment and retention, including conducting direct mail campaigns; website content and development; managing and motivating member volunteers to participate in various programs; writing and producing promotional materials; developing and directing ongoing membership marketing activities; analyzing results; and implementing new strategies and programs. All of these activities directly impact the organization’s financial and membership goals. •Provides strategic direction and financial planning of membership department as it relates to the association’s strategic goals. Creates and implements Annual Survey, analyzes results and works with committees to develop value-added membership benefits. •Works closely with Membership Engagement Committee to develop membership recruitment and retention strategies. •Works with other committees and affiliated groups to enhance membership services. •Partners with other departments to identify and develop membership growth and retention opportunities. •Manages and negotiates relationships with vendors to ensure appropriate product/services are delivered timely, successfully, and within budget. •Oversees maintenance of organization membership and prospect databases. •Develops and manages membership budget.
Administrative Responsibilities & Duties:
•Maintains office services by organizing office operations and procedures; preparing timesheets and submitting payroll information to KPhA bookkeeper for preparation of paychecks; reviewing and approving supply requisitions; assigning and monitoring clerical functions. •Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records. •Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement. •Designs and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments. •Keeps management informed by reviewing and analyzing financial reports; summarizing information; identifying trends. •Achieves financial objectives by assisting in preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions. •Makes daily/weekly bank deposits and classifies the deposits to the correct accounts. •Invoices members for annual dues monthly and reconciles those payments in the membership database. •Files Kentucky Pharmacists Political Advocacy Council quarterly financial report with the Kentucky Registry for Election Finance. •Reconciles KPhA credit card receipts and fills out corresponding expense reports for the Executive Director and Treasurer for monthly reconciliation. •Manages cleaning and yard maintenance services. •Prepares KPhA and KPERF Board meeting agendas and minutes. Does likewise for assigned committees. •Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; and establishing personal networks. •Occasional travel and evening work
•Bachelor’s degree in an applicable field: Accounting, Marketing, Communications, etc. •Proven experience in membership retention and recruitment strategies, strategic marketing, writing promotional copy, direct sales, direct mail, managing volunteers, budgeting, financial management and analysis, short- and long-range planning, and public speaking. •Minimum 2-3 years in association management or sales and marketing experience directly related to association management. •Computer skills: Microsoft Word, Excel, QuickBooks, PowerPoint, Association Management Software a plus. •Proven attention to detail. •Excellent customer service skills •Excellent oral and written skills
