The ACG Chicago Conference & Events Manager will be responsible for managing the strategy, planning, and execution of all aspects of the ACG Chicago’s conferences and events, ranging in size from 50 – 1,000. Join our small but energetic team that works closely with each other under the direction of the CEO. This individual will be responsible for serving as the conference & events lead ensuring an exceptional experience for all attendees. He/she is expected to work collaboratively across the organization as well as with external stakeholders.
Essential Duties & Responsibilities
Prepares specifications and sources venues. Conducts site inspections. Assesses the proposals and offers recommendations on the venue most appropriate for the conference or event.
Manages and negotiates contracts with hotels and vendors.
Coordinates detailed logistics for all association conferences and events.
Manage food & beverage selection and guarantees.
Manages all onsite activity including seating, F&B, AV, speakers, etc.
Develop conference and event floor plans.
Work closely with volunteer committees; including attendance at all meetings, preparing meeting notes and agendas.
Facilitate the development of the conference and event programs.
Manages script development for all conferences and events, if applicable.
Perform other administrative functions such as management of attendee lists, name badge printing, registration set-up and management, coordinating and shipping supplies to have on-site.
Bachelor’s degree in hospitality, event management, business, marketing or another related field. CMP preferred but not required.
3-5 years of experience in meeting planning, preferably within an association. Experience working with volunteers.
Excellent organizational skills, ability to manage many projects simultaneously and meet tight deadlines.
Exemplary customer service and ability to collaborate effectively with various stakeholders.
Excellent verbal and written communication skills.
Familiarity with association management software, preferably Cvent and/or Abila NetForum
