Membership & Programs Coordinator Position
We are seeking a highly personable and organized person to serve as the primary member contact for our client - The Drug & Alcohol Testing Industry Association. Seeking a team member with good data entry skills as well as the ability to interface with members via email and phone.
The Membership and Programs Coordinator is the point of contact for prospective members and program participants seeking information on the association and its programs as well as current participants seeking additional information or answers to their questions. As such, the Membership and Programs Coordinator is responsible for:
Association Payment Fulfillment. Entering all payments into database. Sending letters to those that have problems to correct them in a timely manner. Assembling and mailing all letters generated from payments. Fulfilling all publication orders. Maintaining files of payment orders and forms.
Membership and Program Fulfillment. Fulfilling information requests re: membership, certification and accreditation conferences, membership applications, and other membership or program requests. Answering questions concerning regulations, policies, etc. Keep careful track of current member information in database, including email, fax, and additional contacts for their company (also see data entry below).
Certification Program Administration. Administering the Certification program, including checking incoming documents for completeness, issuing letters for additional information, sending exam registration confirmation letter, and communicating with the Programs Manager on necessary items. Ensuring quality in the programs.
Accreditation Program Administration. Administering the Accreditation programs, including checking incoming documents for completeness, issuing letters for additional information, and awarding accreditation status. Answering questions on accreditation issues. Ensuring quality in the programs to include ensuring that all forms used in these programs are accurate. Alerting Executive Director and Program Director to comments received by members and any updates needed in the programs or forms used in administering the programs.
Insurance Information Administration. Entering all insurance renewal date information when received from BB&T. Entering non-member BB&T insurance holders into the database.
Data Entry. Keeping all DATIA databases updated and accurate, by verifying company information, spellings, and completeness of records. Checking databases on a regular basis to ensure completeness and accuracy. Fixing records generating returned mail, email, or faxes.
Quality Control. Ensuring the quality, accuracy, and excellence of association programs, publications, web sites, activities, and events. Keeping careful track of deadlines in computer organizing format to ensure accuracy.
Communication.Notifying appropriate staff of problem areas or member comments and/or concerns. Enlisting the help of other association staff when necessary, as well as assisting other staff members when needed. Maintaining open lines of communication with DATIA management on group projects.

Ability to learn membership database - FileMaker Pro
Preferred - experienced in using FileMaker Pro databases
Preferred - experienced in using Joomla for website content management
Required to work offsite 1 week per year at Annual meeting
