ABOUT FSPHP: The Federation of State Physician Health Programs is a non profit 501 (c)3 membership association, with 200 members including 46 state physician health programs from across the US. The mission of the FSPHP is to support physician health programs in improving the health of medical professionals, thereby contributing to quality patient care. The membership includes physicians, healthcare professionals and other professionals who are dedicated to supporting the health and well-being of physicians and healthcare professionals who may be at risk of substance use disorders, burnout, stress and mental health conditions. The position offers flexible part time hours, remotely working from home, in the Wilmington MA region. A steady schedule within weekday hours is needed. There is travel annually for 5-6 days in April for the FSPHP annual meeting. The weeks prior to this meeting are above average, and the week of the annual meeting is full time. The weeks following the annual meeting are below average. The position reports to the executive director.
POSITION SUMMARY: Provides membership support to the FSPHP, a nonprofit 501(c)3 national membership organization. Implements membership renewals, processes new membership applications, and addresses membership inquiries including updating and maintaining the membership database and yahoo e-groups. Assists with planning, coordination and administrative details for the Program Planning committee and education programs. Provides extensive conference planning assistance with annual national conference and business meeting. Updates website content, processes accounts receivables and payables, maintains distribution lists and coordinates member communications, including event registrations and mailings. Manages FSPHP yahoo groups membership, invitations and annual reconciliation of members.
Updates and maintains membership database and website. Prepares, distributes and processes annual membership campaign with dues invoices and payments, and follows up on any pending renewals. Prepares and distributes summary membership reports.
Opens mail, and addresses daily FSPHP membership and general inquiries with assistance from FSPHP executive director
Assists with the FSPHP Program Planning Committee including meeting minutes, guiding committee with annual meeting schedule, draft annual meeting program brochures, assistance with event planning, including tracking of speaker materials, exhibitor and attendee registrations. Processes event registration payments and exhibit fees, and follows up on invoicing as necessary. Assistance with creation of signage, meeting attendee badges, meeting materials and promotional items.
Administrator to the upkeep of the yahoo e-group membership, adding new members, and removing expired members.
Assists with production, design and distribution of brochures and newsletters, preparation of meeting materials.
Provides on-site staff coverage at education programs and meetings as requested.
Tracks corporate support, including donations, grants, exhibit fees and membership, and maintains FSPHP contacts. Logs all checks to process to treasurer, and maintains/tracks a donor spreadsheet of all donations received.
Attends some FSPHP committee meetings, transcribes minutes, follows-up on action items, and assists with other meeting responsibilities as requested.
Performs a variety of administrative duties including preparing routine correspondence, scheduling various committee meetings, phone coverage, and print and digital file maintenance.
QUALIFICATIONS: A Bachelor’s degree or equivalent of five or more years of related administrative experience is required. Excellent organizational, communication and interpersonal skills, and attention to detail and quality are essential. Proficiency with, Microsoft Office applications (Outlook, Publisher, Word, PowerPoint and Excel) is needed. Experience with membership database functions (Memberclicks) and with website maintenance is helpful. Meeting management skills necessary including scheduling, AV and catering planning, reminders, meeting minutes and experience with conference applications tools such as Event Mobi etc. Knowledge of Doodle or other appointment scheduling tools and survey tools such as Survey Monkey recommended. The ability to work in partnership with a team to complete work in a fast-paced, multi project environment is also necessary.

The Federation of State Physician Health Programs, Inc. (FSPHP) evolved from initiatives taken by the American Medical Association (AMA) and individual state physician health programs, focusing upon rehabilitation and monitoring of physicians with psychoactive substance use disorders as well as mental and physical illness. The initial success of these efforts led to the creation of an independent organization that would carry out this mission in a consistent and objective fashion.
