The United Motorcoach Association (UMA) is seeking a qualified candidate for our current opening – Administration and Registration Coordinator. He/She will report to the Vice President Member Services & Meetings.
Serve as the primary contact and greeter for all office visitors as well as the primary voice responsible for answering incoming phone calls for UMA. Ensures top-tier customer service and being knowledgeable of all of UMA’s benefits and programs offered to members.
Coordinates office management, maintenance and operational projects. This will include a wide range of projects from coordinating repairs and maintenance (plumbing, HVAC, office technologies and equipment), including security system and power/internet outages and other projects that may be assigned.
Acts at the Board of Director's Liaison which includes assisting with travel, communications, and minute taking.
Maintaining office supplies. Ensuring the office is stocked with essential items to ensure continued/uninterrupted operations.
Receive, distribute and send daily mail/packages.
Provide administrative support for the President & CEO, Chairman and other Board members as needed.
Coordinate all staff events and celebrations.
Other administrative duties as assigned.
Responsible for coding all department invoices and coordinating with the President & CEO for appropriate approval.
Records and distribute check payments received in accordance with established accounting procedures.
Produces the monthly credit card reconciliation for the accounting department.
Registration and Event Duties
Establishes in-house registration process and creates registration forms (in print and online) for all UMA’s events (UMA Motorcoach EXPO, Safety Management Seminar, UMA Capitol Hill Days).
Processes registrations and payments registrations. Provides assistance as needed for anyone experiencing challenges or who needs additional assistance in registering.
Monitors exhibitor complimentary badge allotment and audit online registrants for selection of appropriate registration type.
Creates and maintains weekly Registration Comparison Report and distributes to appropriate team members.
Develops and manage all the onsite registration experiences, to include shipping necessary all necessary materials as well as onsite set up.
Hires temporary staffing company to support the onsite registration experience and oversees scheduling, training and management of onsite registration staff.
Coordinate EXPO registration tear down and shipping of all materials back to UMA.
Other duties as may be assigned to ensure a successful experience for all attendees, sponsors and exhibitors.
Process and record all Exhibitor and sponsorship payments.
Proofread all EXPO publication materials.
Assist on other EXPO related projects as needed.
Oversees the execution of the show app
Bachelor’s degree preferred
Strong verbal communication and interpersonal skills
Enjoys providing the best customer service possible to UMA’s membership
Strong attention to detail
Experience with effectively using membership management database software is a plus. UMA currently uses Abila’s Netforum Pro.
Proficiency in computer skills including MS Office applications, particularly excel
Ability to work flexible schedule to meet high volume work periods and to occasionally travel for association meetings.
