Candidate will work on a variety of existing and future events. The current portfolio of events include an annual convention (10,000+ attendees) and other seminars (500+) The candidate must be able to handle multiple tasks while working with others including members, non-members, volunteer committees, vendors, corporate partners, and other stakeholders.
Duties include, but not limited to:
Collaborates with marketing, events, and sales to ensure production of each exhibitor prospectus.
Creates and sends exhibitor communications where needed.
Primary point of booth rental and floor plan modification, utilizing EXPOCAD and Salesforce.
Management and auditing of booths and sponsorships.
Ensures accuracy of pricing, as exhibitor contracts are prepared.
Enforces and communicates facility rules and regulation as well as organization rules and regulations.
Maintains congenial and proactive communications with supporters.
Collaborates with event manager(s) to provide registration and housing information to exhibitors and sponsors.
Updates customer information in Salesforce (sales program) as needed.
Supports payment collections.
Leads exhibitor rebook.
Develops critical path and milestones for event operations.
Plans all exhibit floor arrangements for 50-600 booths, depending upon show.
Ensures all floor plans meet Fire Marshall regulations for each facility.
Works with the events team on the decorator RFP process and subsequent vendor selection.
Estimates equipment, labor and service needs.
Creates exhibitor manual with contractor including all internal forms as well as decorator pricing.
Collaboration with general contractor and internal sales team to develop appropriate exhibit floor plan.
Contributes and reviews all pre-event and on-site exhibitor communication, including booth selection assignment, customer support, etc.
Handles all onsite security, including hired security and facility officers.
Creates signage for exhibit related signs, including booth identification, directional, area identification, sponsor recognition, and other.
Reviews facility contracts with events department.
Attends industry events.
Investigates and suggests latest technologies in exhibit management.
Candidate may be asked to assist on meetings operations for national and international events.
Collaboration with decorator on an effective production schedule, freight handling, inventory, registration requirements, electrical, internet and phone orders, onsite desks, POV’s, labor calls, first aid, EAC’s, rigging, union issues, floral, carpet, show concessions, and other.
SKILLS, KNOWLEDGE & ABILITIES
Experience and advanced knowledge of EXPOCAD AutoCAD program.
Expertise at providing outstanding customer service.
Effective written and oral communication skills including the ability to interact successfully with internal and external Customers.
Excellent interpersonal communication skills including the ability to work well independently as well as in a team.
Excellent organizational and time management skills, including the demonstrated capacity to successfully manage multiple projects and deadlines simultaneously.
Excellent attention to detail.
Proficiency in Microsoft Office including Word, Excel, PowerPoint and Outlook.
Familiarity with Salesforce and/or CRM functionality.
Understanding of exhibit categories, financial transactions a plus.
Strong problem-solving skills, focusing on solutions to every problem
