The Missouri Bar, a statewide nonprofit legal organization, seeks a Meeting and Events Planner to coordinate a wide range of meetings, events and activities. The ideal candidate has significant experience in meeting/conference/event planning, is well organized, has exceptional time management, attention to detail, strong negotiating skills, excellent communication skills and value superb customer service.
Applicants must have 5+ years hospitality management or meeting/conference/event planning experience. Degree in hospitality management or related area or equivalent experience required. CMP designation highly desirable and preferred. Strong computer skills in use of MS Office, AMS usage preferred.

The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks, will be able to work independently and exercise discretion and independent judgment, and will have the ability to develop and foster relationships in the meeting planning industry. Strong negotiating skills are vital. This position requires someone who is well-organized and who can simultaneously manage multiple priorities, anticipate needs, assess situations, and recommend solutions. Required abilities include accurate meeting and event data entry and administrative functions, including creating and analyzing pre-event and post-event reports and meeting-expense financial processing. Exceptional time management skills are required. It is crucial that the individual in this role possesses the demeanor and the ability to interact positively with hotel and Missouri Bar staff at all levels in a fast-paced environment, sometimes under pressure, while remaining adaptable, proactive, resourceful, and efficient with a high level of professionalism and confidentiality. Written and verbal communication skills, strong decision-making ability, attention to detail, teamwork, and superb customer service are important as is the ability to supervise volunteers and support staff required for events.
Responsibilities include, but are not limited to, meeting and planning for Annual Meeting, Committee Meetings, Board and Leadership events, meetings and activities:
Work with Executive Director and Director of Projects and, as needed, with department directors for site selection and negotiation of venue contracts
Establish and manage hotel room blocks
Assign meeting space for Missouri Bar and affiliate organizations
Prepare BEO information with event venues
Develop appropriate menus and coordinate meals and breaks
Facilitate AV for meetings and events at the hotel, when needed
Assist presenters to establish and support their needs
Work with venues for off-site events and receptions
Arrange for any needed decorations
Solicit and manage meeting exhibitors
Maintain meeting and event related databases
Assist with solicitation of sponsorships
Work with other departments as needed for meeting and event functions
Work with various Missouri Bar entities, when needed, to make meeting and event arrangements.
