Join the AMA team in the AMA DC office as a Staff Assistant II in Advocacy - Political Affairs. As part of the team, you will assist the Political Affairs Division by providing general administrative support for the Office of the Vice President, three Divisions, and Accounting.
Other Responsibilities will include:
Performs routine general administrative functions such as maintaining AMPAC Board and, Federation contact lists.
Maintain the Division calendar for travel and in-house meetings, and administrative deadlines; schedules conference calls and helps with meeting planning; assembles and distributes departmental materials via fax, mail and/or e-mail.
Provides telephone support for the office of the Vice President, directors and staff. Routes calls to appropriate staff person to handle; assists with needed phone coverage during lunch breaks, sick days and vacation days.
Produces a variety of materials using various computer software applications, some of which are of a specialized nature, including spreadsheets, presentations, correspondence, agendas, and reports. Edits materials correcting errors in spelling, punctuation and grammar.
Proficiency in Windows 7 and Office 2010 including Word, Excel is required.
Develops timelines and prepares AMPAC Board materials for Committee meetings, including the production and mailing of materials. Responsible for other regular communications to the Federation and updates State Medical Society and PAC Roster and distributes on a regular basis.
Provides AMPAC Membership processing support as needed, including opening and sorting direct mail, inputting contributor information into the Aristotle membership system and assisting with caging RSVP’s for AMPAC events. Assists AMPAC Membership with AMA and AMPAC Meet and Greets and Fundraisers.
Assists accounting with preparation and mailing of campaign contribution checks.
Assists Manager of Political Education Programs with assembling materials for programs and contacting program participants as needed.
Bachelor’s degree required.
Two to five years related work experience required.
Excellent communication skills required including both verbal and written.
Meeting planning and coordinating experience/skills required.
Demonstrated understanding of business methods and administrative systems including budgets.
Demonstrated ability to work in a team setting as well as independently.
Demonstrated ability to exercise confidentiality and discretion.
Must be able to pay attention to detail while working under pressure.
Proficiency in Windows 7 and Office 2012 required.
