The SMPS Meetings and Events Manager coordinates and manages all logistical aspects of SMPS educational and meeting planning programming including the annual Build Business Conference, workshops, and the Chapter Presidents Leadership Symposium (PLS) by performing the following duties personally or working with other SMPS staff members. Other duties may be assigned.
Primary meeting planner for Build Business, the SMPS Annual Conference (800+ attendees | 3-day event)
Manages additional smaller meetings to include President’s Leadership Symposium, in-person workshops, and board/committee meetings
Delivers events on time, within budget, that meet (and hopefully exceed) expectations.
Attendee and speaker management, tracking contract/task order budgets, making travel arrangements in accordance
Responsible for registration and data entry for all event and educational functions.
Researches locale and venue for programs and events.
Arranges meeting space, staff and board travel for meetings and retreats.
Participates in site inspections.
Negotiates contracts and vendor service agreements (includes but not limited to: hotels, A/V vendors, and guest speakers).
Serves as primary contact and oversees works of vendors and suppliers during events.
Coordinates with staff on logistics of programs and events.
Directs workers in preparing banquet and convention rooms and erecting displays and exhibits.
Inspects rooms and displays for conformance to needs and desires of group.
Assists in coordination of print and web communications related to events.
Responsible for coordination of a seamless and flawless execution of SMPS presentations, training venues, and various SMPS member and guest activities.
Sets, communicates, and maintains timelines and priorities on every project.
Responsible for meeting materials development, reproduction and assembly, document routing, coordination, tracking and file management, meeting materials shipping and tracking, and speaker honoraria and participant reimbursement processing.
Participates in other team meetings to help develop appropriate learning environments and experiences.
Plans and coordinates SMPS learning programs.
Works closely with various SMPS committees.
Executes educational offerings aligned with the SMPS strategic plan.
Provides timely and accurate sales forecasts and reports to inform strategic decision-making.
Answers phones and general questions.
Supports and serves as a staff representative for the SMPS Concierge service on website (chat line).
Maintains relevant educational and event content on the Marketing Resource Center on MySMPS.org.
Bachelor’s degree or an equivalent combination of education and experience
3-5 years of related meeting planning and program coordination experience
Excellent organizational, planning, program management, communications skills, and follow-through abilities
Self-directed, highly professional, and collaborative
Solid problem solving, analytical, and time management skills
Demonstrated ability to prioritize and to complete a high volume of work and meet deadlines with strict attention to detail
Proactive approach and ability to think things through, anticipate solutions and next steps, and see the bigger picture
Proficiency with Microsoft Office applications; familiarity utilizing online tools and updating website information; proficiency with meeting planning software, online registration and travel tools, databases and other technologies; and an openness to embracing new technology
Association experience is strongly preferred
Certified Meeting Planner (CMP) preferred
The ability to travel to conferences and workshops as needed
