This is a staff position (100% telecommuting) reporting to the President & CEO, and will oversee a broad spectrum of activities as may be related to the events and educational programs of the association. The primary focus of this position will be to manage the planning and execution of all ALFN events and educational programs. ALFN is a small staff, non-profit association, so from time-to-time the Director will be required to assist with duties outside of this job description.
Events & Educational Programs
a. Manage the process of gathering speaker interest and panel pitches for all events, working with the CEO and SVP on final selections. b. Manage the agenda and schedule development for all events, in coordination with the CEO & SVP. c. Schedule and manage guest speakers and vendors. d. Coordination with speakers on group calls, following up to assure deadlines are met, verification of material submissions and putting together presentations, event manuals and other materials. e. Conducts site visits to venues as needed. f. Works with the CEO and Experient representative on event contracts with venues and vendors, and assembles contracts for CEO review and approval. g. Compiles estimated costs models, submits final events budget and tracks budget statistics. h. Manage onsite networking activities as may be needed and where a DMC is not utilized, oversee the DMC when one is utilized at events. i. Works with the Database Coordinator on registration and payment procedures j. Coordinate logistics and specifications: assign function space, room set up, food & beverage needs, audio visual requirements, décor, activities and housing for all ALFN meetings and events. k. Develops and manages scripting for events. l. Develop event related content for the website and mobile app for each event. m. Manages the BEO and group resume with the venue, and assures onsite specifications are met. n. Works with the SVP on sponsorship design and sales. o. Works with CLE provider to manage CLE credit for attorneys at applicable events. p. Manages on-site vendors, outsourced staff and registrations. q. Works with the SVP on development and distribution of email marketing promotions and e-newsletters in alignment with marketing goals. Provides content and coordinates with other staff content-providers. Develops templates for email campaigns. Researches and implements best practices and provides statistical analysis for email campaigns. r. Travel as necessary and work with the Administrative Coordinator to assist with manning and overseeing the registration desk or exhibit booth at industry events, including inbound and outbound shipping. s. Manage solicitation of volunteers to assist where ALFN will have an exhibit or registration desk for events. Manage volunteers onsite during events. t. Works with the Administrative Coordinator to order items needed for ALFN exhibit booth when exhibiting at conferences and maintain the inventory of exhibit materials and promotional items. u. Works with the Administrative Coordinator on promotional items and print orders with vendors and coordinates inbound/outbound shipping for events. v. Works with the Database Coordinator for online event registration software to design and manage event registration pages, communications and event reporting. w. Proposes new ideas to improve the event planning and implementation process. x. Develops post-event surveys for attendees with the Database Coordinator and reports on results. y. Work with accounting and Administrative Coordinator for P&L vs. Budget reports for all events, and verifying correct recording of revenues and expenses.
Online Education & Publications
a. Manage all aspects of the ALFN webinar program. b. Works to develop online training content through member submissions, using our new online learning management software. c. Manages development of any new certification programs. d. Manages the ALFN ANGLE magazine, including content submissions, editing and proofing. e. Manages the printed version of the ALFN Legalist Member Directory, including working with other staff on edits and proofing. f. Manages the printed version of the ALFN Picture the Future Publication, including working with other staff on edits and proofing. g. Development of branding and graphic artwork, or will work directly with outsourced graphic artists for any graphic and branding that is needed. h. Formats press releases for distribution.
a. Work with the CEO, SVP and group leadership on ALFN practice groups (committees), to drive group programming, events and content pursuant to the goals of each group. b. Act as a resource for group leadership and members. c. Schedule and manage quarterly calls, including agenda prep. with the chairs and ALFN leadership, ensuring agenda is provided to members and minutes are taken and recorded.
Bachelor’s Degree or equivalent education and work experience.
4+ years of event planning experience, with preferred emphasis on association events of various sizes.
Knowledge of hotel and other venue contracts and negotiations, BEO & Group Resume reviews.
Experience in managing online learning platforms and building content, including certification programs, a plus.
Working knowledge of Adobe graphic design software, and ability to do design work, a plus.
Past work experience for non-profit associations, or other relevant experience with associations highly desired. With emphasis on associations in the financial services or legal services industry, or for other attorney or licensed professionals based groups and trade associations.
Demonstrated proficiency with Microsoft Office applications.
