Provide administrative, project and clerical support to the Director – Membership & Affiliates.
DUTIES AND RESPONSIBILITIES:
Maintain and update data in the membership-related portions of the Association’s master database. Is the key person responsible for the integrity of the membership data.
Process membership applications following documented procedures and guidelines.
Schedule and prepare communications for membership renewals. Coordinate dues payments and maintain record of payment & membership status.
Respond to membership inquiries with appropriate materials.
Assist with promotional communications to prospective members.
Assist with managing and implementing affiliate relations and membership programs.
Reconciles affiliate membership data and allocate dues payments. Track and calculate Affiliate funding payments.
Produce reports using membership data as needed by HPBA staff, Affiliate staff, members, and affinity partners.
Act as primary contact for HPBExpo registration for members, including onsite registration.
Assist as necessary in the data collection and production of the Annual Membership Directory.
Perform clerical functions in connection with correspondence, reports, forms, special projects, surveys etc. for the membership and Affiliate functions. Answer phones and process mail and phones messages as appropriate.
Develop new and maintain existing documentation of departmental work processes.
Develop new and maintain existing documentation for the membership database for HPBA & Affiliate staff; act as a liaison between HPBA staff and membership database vendor.
Provides additional support for membership and Affiliates as requested by the President & CEO, and other duties and responsibilities as may be required from time-to-time.
4-year degree preferred.
Requires advanced capabilities in the Microsoft Office 365.
Familiarity with relationship databases and interest in learning developing database skills, particularly report writing.
Good organizational skills, facilitation skills, strong interpersonal, analytical, written and oral communication skills, and can effectively utilize visual presentations, public speaking, email, and teleconferencing engaging with our stakeholder.
Excellent customer service orientation.
Dedication to accuracy and thoroughness in work outputs. Must be detail-oriented.
Must have the ability to work well with members, staff and affiliates.
