The Exhibits Coordinator reports to and works closely with the Director of Conferences and Exhibits on all aspects of the exhibits program to include reaching the goals and objectives set for the conference.
Coordinate and assist with exhibit sales/outreach for the ASBO International Annual Meeting and Expo. Work with outside vendor on Expo hall floorplan and contact exhibitors to assist with selecting booth space. Maintain exhibitor database and booth assignments.
Work throughout the year with ASBO General Service Contractor/Decorator to ensure all contractual and budget requirements are met. Additionally, assist the Director of Conferences in preparing and distributing the Exhibitor Service Manual.
Be the direct point of contact for all exhibitor questions and needs before the meeting and onsite.
Manage onsite logistics to include:
Oversee Decorator layout and set-up, and selection of pipe and drape/set-up.
Oversee and assist with exhibitor move-in and move-out.
Perform a walkthrough before opening of show to ensure exhibitors are adhering to all rules and regulations.
Work closely with the Director of Conferences to compile information for the conference mobile app, program book, and website.
Provide weekly updated floor plans for the ASBO website and work in consultation with the Director of Conferences on monthly sales reports.
Other duties as assigned.
Bachelor's degree from an accredited college or university and/or five years of experience in a similar or related role.
Excellent communication skills (verbal and written). Must be able to effectively interact with all levels of the organization.
Self-motivated and able to work independently and as a member of a team.
Ability to plan and prioritize workload and meet deadlines.
