Dynamic, growing association in the Fair Lakes area is seeking an Education and Programs Coordinator to join our fast-paced and creative Events team. As an integral part of our team, the Coordinator will work in collaboration with department colleagues to successfully execute a host of events for the association, as well as execute administrative tasks related to select member programs and services.
Roles/responsibilities – Events (80%):
Sets up and manages registration for all events.
Compile accurate registration reports and attendee lists and send out to all appropriate staff and stakeholders
Serves as main customer service representative and events concierge for events – answering calls and emails leading up to events. Helps to manage on-site registration for events.
Compiles and sends out event evaluations
Manage housing blocks and room reservations for attendees for all events
Creates and prints name badges and tent cards for events
Coordinates all event shipping and supplies
Manages webinar series – plan calendar, recruit speakers, run webinars, compile evaluations, coordinate communication with registrants, and create year-end attendance report
Other general and logistical support for all events, as needed
Roles/responsibilities – Programs (20%):
Manages inventory for publications and serves as main point of contact with fulfillment house
Coordinates bookstore at main annual conference
Serves as main customer service representative for all publications questions, inquiries, troubleshooting of orders.
Compiles monthly accurate publication reports for senior staff
Coordinates publication meetings; compiles notes and action items
Other program management support, as needed
Qualified candidates should have:
2+ years of related/relevant work experience in program, event planning and/or registration management
Outstanding verbal and written communication, organizational and project management skills
A self-starter and strong ability to take initiative. Ability to multi-task and work independently, as well as part of a team.
Ability to work diligently and calmly under pressure conditions (as events draw near)
Superb customer service and interpersonal skills
Ability to be creative, think outside the box and bring new ideas to the table. Willingness to adapt to change and fast-paced environment.
Ability and willingness to travel approximately 5-7 times per year to assist with on site management of events
Proficiency in Office 365 (Word, Powerpoint, Excel, etc.) and comfort in learning new technologies.
Experience and comfort in working within a database structure. IMIS experience strongly preferred.
Bachelors degree or equivalent work experience
