The Executive Assistant serves to assist in the implementation of programs and goal for
the Administration Department and/or other groups as directed by the President/CEO.
(Exempt Employee: Reports to the CEO.)
General duties include but are not limited to:
Researches, prioritizes and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral or response.
Complete a broad variety of administrative tasks including: managing an active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed itineraries and agendas; provides clerical, administrative, and substantive support with a focus on office management and membership.
Perform administrative functions including, but not limited to, initiating and preparing memos and other correspondence, making photocopies, sending faxes, preparing mailings, and other activities as requested.
Assist all administrative committee and director’s meetings, including meeting notices, agendas and materials.
Responsible for ordering various Association Awards.
Responsible for maintaining committee and leadership records in national database.
Responsible for correspondence to local associations, directories, etc.
Provide back-up assistance for front desk.
Provides a bridge for smooth communication between executive office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
Works closely with CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the CEO.
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows?through on projects to successful completion, often with deadline pressures.
Maintains discretion and confidentiality in relationships with all board members.
Adheres to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.
Greets office visitors with a smile and friendly confidence.
Open and distribute incoming mail and special deliveries.
Assists Finance Director with projects in Quickbooks.
Organization and maintenance of files and documents, and keep common areas clean.
Database Management: Assist with updates and postings in the Ramco database.
Provides support to the Finance Director or others as assigned.
Performs other duties as assigned by the President/CEO
Organizational and Management Skills including the ability to multi-task.
Strong Computer literacy with emphasis on Microsoft applications, Quickbook knowledge and data management applications.
Has an understanding of the process of a volunteer organization.
Must be a good project manager.
Must be attentive and creative, possess the ability to work with and adapt to all types of people and exhibit patience, perseverance and persuasiveness.
Must be skilled as a communicator, have strong interpersonal skills, and have ability to build consensus.
Must be self-motivated and ability to have initiative.
Ability to maintain confidential information.
Fosters and contributes to a positive team environment.
Ability to produce professional documents with minimal amount of errors; includes spelling, punctuation and grammatical errors;
REALTOR® Association Experience.
REALTOR® Political Action Committee Experience.
4 year degree in related field.
Minimum 5 years relevant experience
