The Administrative Assistant will report directly to the Vice President, Development, and the Development team. The duties revolve around managing and distributing information, answering phones, maintaining files, and handling NMSDC membership information in a network consisting of hundreds of corporate members.
The Administrative Assistant will focus on prioritizing duties between direct reports, taking ownership of commitments, with the ability to flex style and engage through active listening, and build relationships across the organization to effectively move the work forward. Also, archiving, calendar management, travel arrangements and accommodations, expense reporting, customer service, and new member introduction. Lastly, including but not limited to, developing strategies for the organization and determining organizational initiatives, which allow for a smoother process in getting the job done.
Manage MS Outlook calendar, inbox and address books
Respond to incoming telephone calls, routing as necessary
Schedule and coordinate meetings/conference calls – prepare any related materials, as directed
Schedule travel arrangements adhering to meeting agenda
Process expense reports using Concur and/or other T&E program
Interfacing with senior management and their respective assistants; both internally and externally
Perform other duties as directed
Experience in project management
Intermediate to advance knowledge of Microsoft Office Suite, including PowerPoint, Word and Excel
Excellent communication and follow-up
Experience supporting more than one manager in a work setting
Adhering to and implementing deadlines
Minimum of bachelor’s degree
10+ years of administrative experience supporting a senior level executive
Ability to multi-task and prioritize assignments
Strong organizational and interpersonal skills
Minimum of bachelor’s degree
Demonstrate a high level of attention to detail
Experience working in a high-energy, fast-paced environment
Proactive when faced with limited oversight; understanding assignment urgency
Demonstrated tact and ability to maintain professionalism under pressure
Non-profit experience preferred
