Conference Incorporated (CI), a 32+ year old firm located in Reston, VA providing association, convention, trade show, special event management services, is looking for an individual to develop and market educational programs for a trade association.
This position is part of the team responsible for activities related to managing a local association of about 1,000 members and event planning for CI’s other clients. The type of tasks for this position range from working with a volunteer committee to develop educational sessions, coordinating and managing the call for papers and selected speakers for a major conference; coordinating sponsors; managing committee meetings, board meetings, "lunch & learns," etc.
The ideal candidate is flexible, able to handle several projects and have strong customer-service skills as working with volunteers is a must. The individual would be assigned to and be responsible for specific client projects working with other staff on events ranging in size from as small as 30 people (regular board meetings or monthly lunches) to 2,200+ attendee conference. Primarily, the individual would be focused on topics related to direct marketing.
Responsibilities include but are not limited to:
Work with volunteer committees to develop educational programs for an association; assist in marketing those programs.
Work on a 2200-person conference managing the speakers and sponsors, including the Call for Papers.
Manage a variety of small meetings, educational sessions and workshops (e.g., lunch & learns; day-long programs, etc.)
Develop budgets and track revenue and expenses.
Oversee logistical details including room set-ups, audio visual, transportation, housing, and food and beverage. (Work with in-house meeting planner on details)
Participate in the strategic planning process for all meetings and events to ensure continual improvement
Assist in developing relationships with clients.
Other duties as necessary to contribute to the overall success of the client and CI.
4+ years’ experience in educational program development – previous experience with an association or membership organization a plus
4+ years’ experience planning and budgeting – must have excellent budgeting skills
Experience in managing a call for papers process
Strong proof-reading skills (assists with proof-reading association’s monthly newsletter)
Must be proficient with Word and Excel;
PowerPoint skills are a plus
Knowledge of EventRebels is a plus
Must be available for limited travel, some evenings and those rare weekends
Overall, must have excellent oral and written communication skills; attention to detail and strong organizational skills; comfortable working independently and in a team environment; ability to provide excellent customer service; professional manner; ability to multi-task as individual works on a variety of programs simultaneously.
