Position Title: Senior Manager of Meetings & Conventions
Division: Professional Development & Member Engagement
Reports To: Director
Inform, support, and monitor division related actions of the strategic and annual operating plans.
Translate strategic direction into workable actions to deliver meeting/conference expectations within budget.
Manage all logistics for ADHA meetings throughout the year, including Board of Trustee meetings, Annual Conference, leadership meetings, affiliate receptions, and online programs.
Facilitate RFPs and negotiate and manage all meeting contracts including, but not limited to, venue, hotels, audio visual, transportation, general service contractor, DMS.
Oversee registration process, housing lists of internal and external meetings, and airline reservations.
Develop and maintain administrative calendar with president and executive office staff.
Serve as primary operation staff with Committee on Annual Session and volunteers.
Coordinate with all divisions to ensure their divisional meetings, CE fit with conference schedule and logistics are feasible and implemented.
Develop and maintain staff and leadership schedules for onsite at conference
Manage and coordinate all logistics and specifications including audio visual needs, room set up, food & beverage, housing arrangements, travel arrangements for both internal meetings and national events.
Manage and coordinate overall show look and structure/signage development
Manage and coordinate all logistical elements of the House of Delegates business meeting
Execute and fulfill all sponsor elements for the annual conference including branding artwork, communication logistical elements, etc.
Develop, manage and implement exhibit floor plan, revenue, sales, communications and logistics strategy with director and exhibit sales team.
Oversee and manage relationships with annual conference contractors.
Manage office shipment of materials to/from annual conference.
Oversee development and implementation of marketing strategy with directors.
Collaboratively facilitate and support ADHA’s marketing and communications efforts provided by Big Voice Communications providing information, reviewing communications, and completing assigned work
Facilitate the development and oversee meeting website content and event mobile app.
Support the execution of assigned corporate sponsored programs and ensure that all programs are implemented to meet program objectives
Support ADHA’s collective membership recruitment and retention efforts through assigned division and intra-divisional initiatives
Manage assigned special committees, ad hoc workgroups and task forces.
Support ADHA’s knowledge management documentation process by capturing and maintaining related division procedures.
Supervise and cultivate a high-functioning staff team.
Other duties as assigned
Experience: Must have a minimum of five years’ experience in event/tradeshow management; associationexperience preferred.
Skills: Excellent organizational abilities, detail oriented ability to multi-task and work under pressure in afast-paced environment is essential. Candidate must be proficient in Microsoft Office applications.Knowledge of IMIS, Informz, and Constant Contact preferred. Willingness to travel as necessary.
Education: Bachelor’s degree required.
